Cancellation Policy
At SmartHelix (Pty) Ltd, we value your time and strive to deliver a smooth, flexible booking experience for all our clients. These policies ensure clarity and fairness when scheduling or modifying SmartHelix services. 1. Booking Policy All bookings must be made through our official website, app, or authorized SmartHelix representative. Bookings are confirmed only after receipt of a confirmation email or message from SmartHelix. Depending on the service type, a deposit may be required to secure your booking (details provided at checkout or in your quotation). Booking dates and times are subject to technician or consultant availability. SmartHelix reserves the right to reschedule appointments due to unforeseen circumstances (e.g., system outages, weather, or safety concerns). Clients will be notified promptly and offered the next available slot. 2. Cancellation Policy We understand that plans change — please review the following cancellation guidelines: More than 48 hours’ notice: You may cancel or reschedule free of charge. Deposits will be credited or refunded upon request. Within 24–48 hours of the appointment: A 25% cancellation fee may apply to cover scheduling and administrative costs. Less than 24 hours’ notice or no-show: The deposit or 50% of the service fee (whichever is greater) will be forfeited. SmartHelix-initiated cancellations: If we must cancel due to operational reasons, you will receive a full refund or priority rescheduling, depending on your preference. 3. Waitlist Policy For high-demand services or limited installation slots: Clients can join the SmartHelix Waitlist through our website or app. When a slot becomes available, we will notify waitlisted clients via email or SMS in the order they joined. Clients have 24 hours to confirm their booking before the slot is offered to the next person in line. Joining the waitlist does not guarantee a booking but increases priority for future availability. 4. Late Arrivals and Access Clients must ensure property access for on-site services during the confirmed time window. Delays of more than 30 minutes without communication may result in cancellation and applicable fees. If a SmartHelix technician is delayed, you will be notified immediately with an updated ETA. 5. Refunds Approved refunds will be processed within 5–10 business days to the original payment method. Refunds may not apply to custom automation design or system configuration work already complete.
